Terms & Conditions

The basics of how planning and booking a trip with Trip in Brazil works.

These terms cover how we plan and book trips together, written in plain language. Unless your written quote says otherwise, the standard terms below apply. They aren't legal advice, and the exact terms for your trip are always the ones set out in your quote.

Inquiries & quotes

When you use our planner, WhatsApp, email or contact form, you're making an inquiry — not a booking. We'll reply with a proposed plan and, where relevant, a quote. Nothing is confirmed until we both agree the details, you accept the quote, and any deposit is paid.

Pricing & currency

Our Rio day tours have set prices in Brazilian reais (R$), often shown with an approximate US$ figure for reference only. Trips to other destinations are quoted on request. All prices are subject to availability and confirmation by our team, and can change until a booking is confirmed.

Booking & deposit

To confirm a booking, we ask for a deposit of 10% of the total, which secures your chosen date and the services you've requested. The balance is paid on the day of the tour in Rio de Janeiro; for other destinations, the payment schedule is arranged with you in advance.

Payment methods

You can pay by credit or debit card (via a secure Stripe payment link we send you — card payments carry a 10% platform fee), bank transfer, or cash in Brazilian reais or US dollars. Prices increase by 10% in the high season (December–March). Refunds are processed via Stripe, and rescheduling carries no fees. We never collect payments or card details on this website and never ask you to enter financial information into the planner.

Cancellations & refunds

If you need to cancel, the fee depends on the season and on how far in advance you cancel, calculated on the total contracted amount:

High season (December–March):

  • More than 30 days before the service date — 10% fee.
  • 30–20 days before — 20% fee.
  • Under 20 days before — 20–30% fee, depending on the service.
  • Within 2 days or no-show — full or partial charge to cover costs already secured.

Low season (April–November):

  • Under 10 days before the service date — 20% fee.
  • Under 5 days before — 20% fee, depending on the service.
  • Within 2 days or no-show — full charge to cover costs already reserved.

For single day tours, cancel at least 48 hours before for a full refund; within 48 hours they're non-refundable. If an activity can't run for reasons beyond our control (such as weather), we'll refund tickets where possible on standard group tours, or adapt the itinerary or reschedule as an alternative — any extra costs are always communicated clearly in advance. These conditions ensure predictability, commitment and the proper allocation of resources.

Changes & rescheduling

Tell us as early as you can and we'll do our best to accommodate changes. Some changes may carry supplier fees or price differences, which we'll confirm with you before applying them.

Travel insurance

Travel insurance is not required. If you'd like cover — for medical care, trip cancellation, or any activities or mobility equipment relevant to your trip — please arrange it with your own provider.

Passports, visas & health

You're responsible for valid travel documents, visas, and any health requirements for Brazil. These depend on your nationality and change over time — please check your Brazilian consulate and a travel-health professional. We can point you in the right direction but can't give official immigration or medical advice.

Accessibility

Accessible travel is our specialty, and we confirm what's accessible for each traveler before you book — we don't make blanket accessibility guarantees. Please share your needs early so we can plan and verify the right arrangements. See our Accessible Travel page.

Third-party suppliers & liability

Some parts of a trip are provided by independent suppliers (transport, accommodation, attractions and activities), who have their own terms. We plan and coordinate your trip with care, but to the extent permitted by law we aren't liable for the acts, omissions or independent services of third parties, or for events beyond our reasonable control.

Photos & content

Images, text and other content on this site belong to Trip in Brazil or are used with permission, and may not be reused without consent. Some destination photography is credited to its source where required.

Privacy

How we handle your information is described in our Privacy Policy.

Governing law

These terms and any booking are governed by the laws of Brazil, and any disputes fall under the courts of Rio de Janeiro.

Changes to these terms

We may update these terms from time to time. The version in force when you book is the one that applies to your trip.
